Aevornix Suite privacy notice

What the six Aevornix Suite applications read, where they keep it, and what leaves your computer. Aev Word, Aev Present, Aev Book, Aev BI, Aev Smart and Aev Schedule are local first: your documents stay on your own computer, there is no account to create, there is no sign in, and they work with no internet connection.

What the applications hold

Everything below is on your own computer.

Your documents
Stored wherever you save them, in the format you choose. Nothing in a document is sent anywhere.
Settings
Your choices, in each application data folder. The author name recorded on a comment or a tracked change comes from here, and you can change it or leave it empty.
Recent files
The files you opened last, so they can be offered again. This can be turned off, and turning it off empties the list.
Recovery snapshots
Taken while a document is open so your work can be offered back after a crash or a power cut, and discarded when the document is closed normally.
The search index
Aev Search finds a document by its words. Only folders you add are read, the index holds extracted text rather than your files, and a document is added only while indexing is on.
A log of events
What happened rather than what you wrote, kept for seven days, and included in a diagnostic bundle only when you ask for one.

What leaves your computer

Five occasions, each of them off or requiring an action from you.

An update check
Asks the release feed for the newest version and sends nothing about you or your documents. Automatic checks are off until you turn them on.
An update you download
The installer is fetched, its digest is checked against the feed, and the file is placed where you can run it. No application starts an installer itself.
Aev Assist with a provider you configure
The text you ask about is sent to the provider you named, whose own privacy notice then applies to it. The offline part of Aev Assist reads the document on your computer and sends nothing, and no provider is configured until you configure one.
A data source you connect
Reads the file or the database you name, with the credentials you give it. Credentials are held in the Windows Credential Manager and never written into a project file or a settings file.
A plugin you grant network access
A plugin reaches the public web only with that permission, and never this computer or your local network. It has no call that takes a path, so it reaches a file only by you choosing one in the dialog.

Each application

What differs by product, beyond everything above.

Aev Word
Documents, comments and tracked changes are stored in the file you save. A document can hold an object linked from another Aevornix document, and it keeps the last picture of that object so it stays readable. Updating a linked object reads the other document, so it waits for the setting that allows that.
Aev Present
Slides, speaker notes, recorded timings and the media you add are stored in the file you save. Exporting slides as images or as a PDF writes the files where you choose them, and a presentation opened from another program keeps the parts Aev Present does not edit exactly as they were.
Aev Book
Workbooks, formulas and their data are stored in the file you save. Calculation runs on your computer, so nothing in a cell reaches a service, and a workbook that reads from a source reads only the source you name.
Aev BI
A project holds the model, the report pages and, if you choose, the data that was loaded, so a project can be read offline or refreshed from its source. A refresh runs while the application is open and never while it is closed. Row level security shapes what a report shows, and the interface states plainly that it is not a security boundary against someone holding the file.
Aev Smart
A PDF is treated as untrusted input: scripting is never enabled and a file beyond a size limit is refused rather than loaded. Text recognition uses the engine built into Windows and runs on your computer, so no page is uploaded to be read. Redaction removes the content from the page rather than covering it, so what was removed cannot be recovered from the saved file.
Aev Schedule
Events, tasks, projects and routines are kept in a local store rather than in a document, and an iCalendar file is read or written only when you choose one. Attendees recorded on an event are kept so an exported file carries them: Aev Schedule sends no invitations and contacts no one. Reminders are raised while the application is open.

Usage statistics

Off unless you turn them on. When they are on, the applications record startup, command failures and how long an action took: the name of a command, a duration, a count. Document content is never included, and a field that is not on the allowed list is dropped before an event is kept. Those events stay on your computer and are sent only if you enter an address of your own in Settings, under Privacy. With no address they never leave, and the Diagnostics dialog shows every event that is held and clears them on request. Keeping crash reports is a separate switch: with it off a failure is still counted in the log and its detail, which can name a file path or a message, is left out.

Removing your data

Deleting an application data folder removes the settings, the recent list, the search index and any recovery snapshots for that application. Your documents are wherever you saved them, and are untouched by that and by uninstalling. Nothing has to be removed from us, because nothing was sent to us.

Aevornix is an operating division of Oxford Private Studios Ltd. Because these applications keep your data on your own computer and send nothing to us, we hold nothing to give you access to, correct or erase. UK and EU data protection rights apply to anything we do hold, which is what you send us directly.
