Aevornix Payroll privacy notice
What the Aevornix Payroll desktop application keeps, where it keeps it, and what leaves your computer. Aevornix Payroll runs payroll on your own computer: employee records, calculations, payslips, payments and journals stay in a company file you control. It has no account, no cloud service, no telemetry, no analytics and no advertising.
What we collect
Nothing. Aevornix Payroll sends nothing to us: your company files, employee records, payroll history and settings stay on your computer. We do not sell or share personal information, because we receive none.
Who controls payroll data
The employer using Aevornix Payroll decides what payroll data to record and is its controller. Oxford Private Studios Ltd does not receive, hold or process that data and has no access to it. As the employer, you are responsible for the personal information your employees give you.
What the application holds
Each company is a payroll file in the application data folder of your Windows account. Everything below is kept in that file unless stated otherwise.
- Employer and employee records
- Names, addresses, dates of birth, job details, pay rates, tax codes and profiles, pension membership, leave, loans and documents you attach. Bank details, tax and national identifiers and addresses are encrypted in the file with a key protected by Windows for your user account.
- Payroll history
- Every calculation stores its full input and result so a finalised payroll can be reproduced exactly. Finalised payroll cannot be changed; corrections are recorded as reversal and correction runs.
- Payslips and reports
- Payslips are rendered on your computer and kept with the payroll. Reports, payment files, statutory filing files and exported payslips are written only to folders you choose.
- Audit log
- A hash chained record of every change: who made it, when, and the value before and after.
- Backups
- Created when you choose, and before finalisation and year end. A backup is encrypted with a passphrase you choose and saved only where you choose.
- Clipboard
- When you copy a bank account or tax number, the clipboard is cleared after 30 seconds unless you have copied something else since.
What leaves your computer
Nothing, unless you send it. Payment files, filing files, reports, payslips and backups move only when you upload, email or share them. Journals for Aevornix Ledger are written to the folder you configure. Aevornix Payroll does not submit returns to tax authorities or send payments to banks by itself: you upload the files it prepares. It connects to nothing on its own: there is no update check, no licence check and no usage reporting.
The Payroll Host
The Payroll Host is a separate server program for employers who share one company with other computers on their own network. It runs only when an administrator starts it. Devices are paired with a one-time code and pin the host certificate; all traffic is encrypted. The host sends each signed-in payroll user only what their role permits, and each employee signed in to the employee portal only their own payslips. Webhooks the employer adds receive signed event notices carrying record identifiers, employee numbers, dates and counts, never amounts, bank details or tax identifiers. The desktop application connects to a host only after you pair it, and to that host alone. Nothing is sent to us.
Updates and purchases
Updates and Microsoft Store purchases are handled by the Microsoft Store under Microsoft’s terms. We receive the sales and usage reports Microsoft provides to publishers, which contain no payroll data. Aevornix Payroll contains no update client and does not check for updates itself.
Removing your data
Company files, backups and exports remain until you delete them. Uninstalling Aevornix Payroll does not delete company files, so payroll records survive a reinstall; delete the files in the application data folder, and any backups and exports you saved, to remove the data. Payroll records are often subject to legal retention periods; check yours before deleting.
Children
Aevornix Payroll is business software for employers and is not directed at children.
Your rights and who to ask
Aevornix is an operating division of Oxford Private Studios Ltd, the publisher of Aevornix Payroll. Because the application keeps payroll data on your own computer and sends nothing to us, we hold nothing to give you access to, correct or erase. Employees with a request about their payroll data should contact their employer. UK and EU data protection rights apply to anything we do hold, which is what you send us directly.
