Aevornix Ledger privacy notice
What the Aevornix Ledger desktop application keeps, where it keeps it, and what leaves your computer. Aevornix Ledger is accounting software that runs on your own computer: your books stay in a company file you control. It has no account, no cloud service, no telemetry, no analytics and no advertising.
What we collect
Nothing. Aevornix Ledger sends nothing to us: your company files, backups, exports and settings stay on your computer, or on a server you run. We do not sell or share personal information, because we receive none.
Who controls accounting data
The business using Aevornix Ledger decides what to record about its customers, suppliers and staff and is the controller of that data. Oxford Private Studios Ltd does not receive, hold or process it and has no access to it.
What the application holds
Each company is a folder you choose, by default Aevornix Ledger in your Documents folder. Everything below is kept in that folder unless stated otherwise.
- Books
- Accounts, customers, suppliers, quotes, invoices, credit notes, bills, payments, bank statement lines, assets, budgets, tax returns and the users of the company. You can encrypt the company file with a company password.
- Attachments
- Receipts and documents you attach to entries, stored in the company folder.
- Audit log
- A hash chained record of every change: who made it, when, and the value before and after. Posted entries cannot be edited; corrections are recorded as reversals and credit notes.
- Backups and exports
- Written only where you choose. A backup can be encrypted with a password you choose, and is verified after it is written.
- Settings and credentials
- Recent companies, preferences and the credentials of connected services are kept in the application data folder of your Windows account. Credentials are protected with Windows data protection for your user account.
What leaves your computer
Nothing, unless you turn on one of the connected services below. Each connects only to the service you choose. There is no update check, no licence check and no usage reporting.
- UK bank feeds
- When you link a bank account through GoCardless Bank Account Data or TrueLayer, using your own account with that provider, the account’s transactions are downloaded to your computer. You give consent at your bank. The provider’s privacy notice applies to its service.
- HMRC Making Tax Digital for VAT
- When you connect to HMRC and submit a VAT return, Ledger sends HMRC your VAT registration number, the return figures and the fraud prevention information HMRC requires by law: a device identifier created by Ledger, your local network address, your Windows user name, screen and window size, time zone and operating system. HMRC’s privacy notice applies to the data it receives.
- Ledger Node
- When you connect to a Ledger Node, company data is exchanged with the Node you or your organisation runs, on your own network or server, and with any PostgreSQL database it uses. Nothing is sent to us.
- Integrations
- Aevornix POS, Forms and Automate can send business events to a company through your Ledger Node, using keys you create and can revoke.
- Ledger prepares messages and PDF documents for your own mail program. It does not send email itself.
Updates and purchases
Updates and Microsoft Store purchases are handled by the Microsoft Store under Microsoft’s terms. We receive the sales and usage reports Microsoft provides to publishers, which contain no accounting data. Licence files are checked on your computer without contacting any server. Aevornix Ledger contains no update client.
Removing your data
Company files, backups and exports remain until you delete them. Uninstalling Aevornix Ledger does not delete company files, so your books survive a reinstall; delete the company folders, and any backups and exports you saved, to remove the data. Accounting records are often subject to legal retention periods; check yours before deleting.
Children
Aevornix Ledger is business software and is not directed at children.
Your rights and who to ask
Aevornix is an operating division of Oxford Private Studios Ltd, the publisher of Aevornix Ledger. Because the application keeps your books on your own computer and sends nothing to us, we hold nothing to give you access to, correct or erase. Customers, suppliers and staff with a request about data a business holds should contact that business. UK and EU data protection rights apply to anything we do hold, which is what you send us directly. Changes to this notice are published on this page.
