Aevornix Forms privacy notice

What the Aevornix Forms desktop application keeps, where it keeps it, and what leaves your computer. Aevornix Forms builds forms, surveys and data collection on your own computer, and collects and analyses the responses as files you own. It has no account, no cloud service, no telemetry, no analytics and no advertising.

What we collect

Nothing. Aevornix Forms sends nothing to us: your forms, responses, keys and settings stay on your computer. We do not sell or share personal information, because we receive none.

What the application holds

Forms and response collections are files in folders you choose, by default Aevornix Forms in your Documents folder. Everything else below is kept in the application’s local data folder.

Forms
Each form is an .aevform file holding its questions, logic, design and published versions. The name you enter in Settings is recorded as the creator of new forms, the publisher of versions and the author of review notes; leave it blank to record nothing.
Responses
Imported responses are kept in a response collection file beside the form, with any attached files, your review notes, tags and flags. An audit history in the same file records imports, exports and review changes. Recording each time a response is opened is off unless you turn it on in Settings, Privacy.
Encryption and signing keys
Private keys for signing forms and decrypting responses are protected with Windows data protection for your user account. A key backup is encrypted with a passphrase you choose and saved only where you choose.
Settings and recent files
Your preferences and the list of recently opened forms. You can turn off recent files, or clear them, in Settings, Privacy.
Recovery copies
Unsaved changes are copied so they survive a crash. A copy is removed when the form is saved, closed or the recovery is discarded.
Backups
Created only when you choose Create backup, and saved only where you choose. A backup holds your settings, your recent file list and those forms with their response collections, and includes protected key files only if you select them.
Preview and test responses
Responses entered in Preview are checked and discarded. Test mode responses are kept only while the form is open, and never enter the response collection.

Respondents

People answer your forms in the Aevornix Forms Responder or in a browser package you distribute. Both keep answers on the respondent’s computer and save the finished response as a file the respondent sends to you. The Responder keeps an unfinished response as a draft on that computer and removes it after submission. The browser package runs entirely in the web browser, is blocked from connecting to any network address, and saves progress only as a file the respondent downloads. A form can encrypt responses so that only the holder of the form owner’s private key can read them. As the form owner, you decide what to ask and are responsible for the personal information respondents give you.

What leaves your computer

Nothing, unless you send it. Forms, response files, exports and backups move only when you or a respondent copy, email or share them. A watch folder reads response files from a folder you choose. Aevornix Forms connects to nothing on its own: there is no update check, no licence check, no usage reporting, and the web components it uses have their background update and sign-in services switched off.

Updates and purchases

Updates, purchases and licences are handled by the Microsoft Store under Microsoft’s terms. Aevornix Forms contains no update client and does not check for updates itself.

Removing your data

Deleting a form or response collection file removes it and everything in it. Deleting a single response in the application marks it as deleted and hides it, but it stays in the collection file with its audit history. Uninstalling Aevornix Forms removes its local data folder, including settings, recent files, recovery copies, drafts and private keys; back up any private key you still need first. Forms, response collections, exports and backups saved in your own folders remain until you delete them.

Children

Aevornix Forms is not directed at children and collects no personal information from anyone.

Aevornix is an operating division of Oxford Private Studios Ltd, the publisher of Aevornix Forms. Because the application keeps your data on your own computer and sends nothing to us, we hold nothing to give you access to, correct or erase. UK and EU data protection rights apply to anything we do hold, which is what you send us directly. Changes to this notice are published on this page.
